StudyPay is one of Apoth’s tools designed to modernize participant compensation for real‑time research studies. It addresses key audibility, traceability, and fund control concerns while enhancing efficiency, convenience, and security for research teams and participants.

Payment management

StudyPay consists of a Researcher Hub and a mobile app for participants. Hub is a secure web application that allows researchers to allocate, manage, and monitor compensation funds and participant engagement in real time. Participants receive anonymous credentials for an account where the team distributes funds via API or manual allocations. They “cash out” at any time as e‑gift cards from one of 200+ vendors.

Enhanced auditability and reporting

Billing managers can download detailed reports at any time, from total funds dispensed by activity to each participant transaction, including reasons and authorizations. 2FA and role‑based access ensure only authorized roles handle payments, while others can assist with non‑payment tasks.

No more guessing or over‑buying gift cards. Participants get exactly what they want, when they want it. Automated calculations remove manual errors and save hours on complex compliance and engagement bonus calculations.

StudyPay lets you enforce IRS reporting thresholds in a few ways. You can set maximum compensation limits either per individual or across an entire study. If a participant’s allocated funds exceed your chosen threshold, access to those additional funds can be automatically frozen until you collect the necessary information. Finally, you can configure real‑time alerts that notify you whenever an account is approaching or has crossed your specified threshold.

Researchers can use hashed GUIDs to map a participant’s accounts across studies while preserving anonymity and alert the team if thresholds are crossed—without revealing any PII.

Detailed transaction records link to anonymous accounts only. PII is never stored unless provided by the research team, and any linkage remains outside Apoth’s system.

Participants contact their research team. Researchers can issue new credentials in the Hub without exposing any PII or compromising security.

Yes. You can manage distinct funding sources per study, with separate settings, rates, and accounts. Credits can be pre‑purchased, pay‑as‑you‑go, or both.
